Digitalization of Case Flows

About the customer

The County Administrative Boards (Länsstyrelsen) are a state coordinating authority, a service authority, an appeals body, and responsible for supervision. The County Administrative Boards ensure that the national goals decided by the government are implemented.

twoday assisted the County Administrative Boards in digitizing their case flows with the e-service "Mina Meddelanden" (My Messages), enabling citizens to quickly and securely receive messages from authorities.

Project Background

During the fall of 2017, a technical feasibility study was conducted, investigating the technical prerequisites for the messaging service and monitoring suppliers and solutions from other authorities. The study also included an IT and information security perspective. In 2018, an implementation project was carried out, initially connecting three case flows in the environmental area via their case and document management system.

Objectives and Results

The County Administrative Boards needed a secure way to digitize entire case flows from the incoming e-service to dispatch. The result is a solution to which all 21 County Administrative Boards are connected via their common technical platform and our shared messaging service with twoday's integration platform (Ciceron Integration Services).

This saves time for the case handler to dispatch directly from the business system, and with fewer paper letters sent, it also saves on future costs for printing, postage, and benefits the environment by reducing transportation.

Tips for organizations wishing to connect to "Mina Meddelanden":

  1. Analyze which technical solution suits the organization best.
  2. Build a user-friendly interface.
  3. Then connect a flow to "Mina Meddelanden."

"The project's delivery has been requested by many employees, making it an appreciated effort that has been well-received and received good assistance from those who have turned to the project for help or information."

Ewa Larsson, IT Administration Manager at the County Administrative Boards
